OPERATIONS MANAGER
The Operations Manager is responsible for bringing the CEO’s vision to life while creating an infrastructure and team that can support and achieve it. They ensure company procedures and policies around Human Resources, Recruiting, Operations, and Customer Service are executed in a timely and resourceful fashion. They are responsible for the overall performance and satisfaction of the team. They are responsible for the execution of technical tasks, developing systems/processes, and project management.
Because this is a key leadership role with a range of critical responsibilities, we are searching for someone who is ready and eager to weave themselves into the fabric of our organization.
OPERATIONS MANAGER
We require a partner that can successfully implement our 90 Day goals & see them through.
The goal for the first 90 Days is to get your feet wet and allow the CEO to fully step into her zone of genius. The CEO would like to see a natural progression in the development of responsibilities in this role versus passing off all responsibilities. We want to see strong implementation & successful systems. You must be energetic, highly organized, focused and have a passion for collaborating as a team to achieve excellent results.
This is a contract-to-hire position. This means after 90 days, should we all decide that this is a great fit, we will offer you a permanent position with our company.
RESPONSIBILTIES
Operations/Project Management
Create and implement systems and procedures to help tasks get completed in the most efficient and consistent way.
Supporting the business owner to continuously find ways to help them streamline their time and workload
Ensuring Team SOPs are created and maintained
Overseeing Team platform set-up and team training (Slack, Asana, Airtable, G-Suite, etc)
Tracking business stats so the owner always know where things stand in their business
Supporting the CEO in setting goals and implementing strategies to track/reach them
Ensure that all operational processes are properly documented and that key information is organized, accessible and secure.
Create detailed project management plans and manage the day-to-day projects in Asana.
Track project status and provide detailed but succinct updates to the CEO.
Creating strategy for projects and associated workflows, overseeing projects, and tasks to completion.
Managing projects and launches.
(Virtual and in-person) event planning experience
Set up and manage new online programs and/or membership sites.
Team Management
Manage the performance and execution of the responsibilities of teammates.
Lead weekly progress meetings and planning meetings.
Lead quarterly performance review meetings.
Ensure that team members operate efficiently and effectively keep the mission at the forefront.
Ensure the team is healthy, functional, communicative, and cohesive.
Onboarding new team members.
Serving as a liaison between Rhonda and the team, ensuring that the team feels supported, and ensuring there is an open line of communication with all team members.
Ensuring that the team is in the loop with new projects, and trained on any new systems being implemented.
Human Resources
Meet with leadership daily
Assist in strategy, ideation, and improvements to our programs
Forecast next steps
Management of departmental objectives
Provide strategic value and input
Make recommendations to ensure we have an effective team with all key players who are true to our mission. Hire new team members as needed and manage the hiring process.
Serve as team leader and second in command to the CEO.
Interface with bookkeeper/CPA and CFO to understand the financial standing of the business.
Make it stand out.
Expected Accomplishments:
The projects the company commits to are completed on time and create the desired outcome for the company and clients.
Each member of the team has a clear outcome, knows their roles, tasks, deadlines, and understands what they are accountable for.
Have a birds eye view of everything that is happening in the company at all times (funnels, projects, webinars, live events, etc.) and simultaneously aware of the details enough to be able to anticipate, identify, and resolve problems
Overseeing what maintenance is required for existing products, programs, and systems and balancing that with what new projects are needed
Internal operations are running smoothly
Expected Proficiencies:
Must be available to work Monday through Friday for approx. 20-30 hours per week during 9:00-5:00 EST, with weekend work during launches
Experience working in an operations or project management role
Highly developed interpersonal and leadership skills
Proven experience and track record in an operations role in a high-growth organization
Aptitude in decision-making and problem-solving
Must have great human and business instincts and be able to confidently articulate a well- informed point of view
Knowledge of the following systems: Squarespace, Airtable, Dubsado, Quickbooks,Wave, Asana, Zapier, Membervault, Gusto, Bench, G-Suite, etc
Online business, professional training, or consulting industry experience
Follow company security protocol and retain a high-level of discretion and confidentiality when it comes to company and client information.
